Archive Copies and the Missing Shipment

Investigation method. Examples below are fictional and separate from the linked case solution.

Compare archive copies by provenance and independent corroboration, not by how cleanly they are typed. A later transcript can be useful while still being weaker evidence for the original wording.

A practical method

  1. Record creation, copying, accession and scanning dates separately. They describe different stages in a document’s history.

  2. Compare stable identifiers across independent dispatch and receiving records. A shared consignment identifier is more useful than a similar-looking destination word.

  3. Preserve disagreements and annotations. Explain which version supports your conclusion and what is not established about the shipment’s later history.

Worked example

A fictional 1938 carbon names parcel F2 and Depot Lake. A 1980 transcript says Depot Lane and notes illegible handwriting. An independently kept receiving book names F2 at Depot Lake. That corroborates arrival there without proving the parcel’s final use or why the transcript differs.

What this cannot establish

The exercise stipulates record authenticity. Real archival work requires its own provenance checks; a catalogue label or scan date alone does not authenticate the original.

Your analyst checklist

  • Preserve the original record and its provenance.
  • Separate observed facts from interpretations and missing information.
  • Test at least one competing explanation against the same evidence.
  • Record the source and limitation beside each conclusion.
  • State what additional record could change the assessment.

Practise with a fictional dossier

Operation Missing Manifest: Compare the Archive Copies develops document provenance and shipment reconstruction. Read six synthetic evidence records, test five short-answer objectives and use progressive hints if needed. The article explains the method without giving the case’s graded answers.

Frequently asked questions

Does a scan date date the document?

It dates the scan, not automatically the underlying record.

Should I ignore later copies?

No. Use them with their declared origin and limitations.

Can an undated annotation override a ledger?

Not without evidence explaining its timing, authority and relationship to the event.
